  1.  Get rid of personal printers. Yes, some employees may be able to justify why they should have a personal printer on their desk, but it should never be done for all your employees. Giving your workers a personal printer on their work station is definitely not saving you money. You are probably spending a lot when it comes to your printing costs, therefore you should do away with personal printers. Have your workers share a common printing station.
  2. Use your scanners more. This is a digital world that we live in, so it is quite acceptable to scan documents and send them digitally. Printing documents at times is just not necessary, rather scan and send them.
  3. Think before you decide to print. Get in the habit of thinking twice, about whether you actually need to print a document or not. Most of the time, people want to print, not because they actually need to, but because they are used to doing it.
  4. Check the document before you print it. If you are 100% sure that you have to print a document, just make sure that you read it and edit it before it gets printed. This is so that you can pick up mistakes before you actually print it, instead of printing it and then realising that there is a mistake on the document.
  5. Limit printing in colour. Colour is really expensive, and the bulk of the costs for printing comes from that. So, print in colour only those documents that have to be in colour, and save yourself a lot of money.

Using these tips will save your printing costs significantly, and it will help you get more out of your printing equipment. Businesses should educate their employees, so that they understand the costs that are involved every time they decide to print something.
